We’re searching for a fulltime communications & events assistant

The Communications & Events Assistant will be responsible for administrative, event coordination and communication duties for the Communications Department. This position is responsible for specific communications activities outline below. This position is a direct report to the VP, Corporate Communications.

Duties and responsibilities are as follows:

Customer Relationship Management Database

  • Assist with customer relationship management software migration and utilizing and analyzing CRM data for marketing campaigns.

Email Campaigns

  • Update and keep current member and subscriber information in email management system
  • Research and collect content (articles, member news, events, etc) for bi-weekly e-newsletter
  • Design and distribute e-newsletter bi-weekly
  • Create emails for promoting events and other communications to members

Event Coordination

  • Assist with sourcing speakers, managing speaker list and speaker arrangements for Retail Alliance events throughout the year
  • Set up event registration in Eventbrite, WebEx, website and on social media
  • Set up and manage online event registration
  • Send out events to media calendars
  • Create direct mail postcard each month for the events to be held in the following month
  • Coordinate with hotel on no. of RSVPs and breakfast needs
  • Setup STRIVE Webex event with presenter, including the recording and arranging transcribing
  • Work with Project Manager, LOVEVA, on community events

Social Media

  • Use social media to promote events, share news and engage with members and retail community
  • Work on Facebook and Twitter strategies for Retail Alliance, including producing and adhering to a social media calendar
  • Monitoring of social media channels
  • Engaging and responding to social media users on a day to day basis
  • Measurement of social media, and adapting/improving to increase engagement

Additional Responsibilities:

  • Produce a weekly status report to the VP Corporate Communications on projects underway and upcoming projects.
  • Assist VP, Corporate Communications with other marketing and public relations projects as needed.

Skills Required:

  • Very organized both physically and mentally
  • Strong attention to detail
  • Ability to manage multiple projects simultaneously (in other words, great time management)
  • Writing (good grammar and spelling are a MUST)
  • Social media experience (in particular, Facebook)
  • Minimum 2 years working experience in related job

Skills Preferred:

  • Basic Graphic design skills (Adobe InDesign, Illustrator, Photoshop, CANVA)
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • Customer Relationship Management software experience
  • Apple computer knowledge

40-hour work week
Hours of normal office operation: 8.00AM– 4.30PM

Salary: $35,000-$40,000 (commensurate with experience) + incentive plan
